How do I manage multiple portal accounts with a single email?


ChildFriendly is designed to simplify your digital life by allowing you to manage multiple accounts from a single email address. This article will guide you through the various scenarios where one email can be used for different roles and locations.


Scenario 1: Parent Accounts Across Multiple Centers


Parents can easily use the same email address to manage their child's profile at multiple ChildFriendly centers.

  • Step 1: Get Invited: You will receive a separate email invitation to join each center.
  • Step 2: Set Up Your Profile: For each invitation, you will set up a profile using the same email address. We recommend using the same password for each profile to make logging in even more streamlined.
  • Step 3: Toggle Between Centers: When you log in, the system will recognize that your single email is linked to multiple accounts when you enter it as the username. You will then be able to easily toggle between the different centers you have a profile in.


Scenario 2: Staff Who Are Also Parents


It is common for staff members to also have a child enrolled at the same center. ChildFriendly allows you to use the same email address for both your staff and parent accounts.

  • You can use the same email and even the same password for both your parent and staff profiles.
  • The only thing to remember is to log in to the correct portal: either the Staff Portal or the Parent Portal, as needed.
  • The system recognizes your email and links your accounts, allowing you to easily switch between them after logging in.


Scenario 3: Staff Who Are Also Administrators


Currently, each staff member needs a room staff profile with a unique email. However, an administrator position requires a separate account with unique permissions. Currently, our system does not allow you to use the same email for both a room staff profile and an administrator profile.

  • Workaround: We recommend using your personal email for your room staff profile and a separate work email for your administrator profile.

We are actively working on a structural change to merge these accounts into a single profile, but for now, unique emails must be used.


Scenario 4: Admin Staff Working at Multiple Locations


If an administrator works at multiple ChildFriendly locations, their admin account can easily be linked to all applicable locations, allowing them to toggle between them.

However, a complication arises with the room staff profiles. Currently, room staff profiles can only be assigned to one location per email.

  • Workaround: Use a simple developer hack to create a unique "email login" for each location while still using your one primary email address.
  • How it works: Add a "+location name" to your email login. For example, if your email is jana@gmail.com:
    • For the Westview location, use: jana+westview@gmail.com
    • For the Parkridge location, use: jana+parkridge@gmail.com
  • The benefit: Any emails sent to jana+westview@gmail.com or jana+parkridge@gmail.com will still be delivered to your main inbox at jana@gmail.com. You do not need to create new email accounts. This simple addition makes the email "unique" for login purposes without affecting your inbox.


Why this works: Since your single admin login gives you full access, you will rarely, if ever, need to log in directly to your room staff profiles. This workaround simply allows the system to have a unique profile for you at each location while keeping your communication streamlined to one main inbox.
